Zoom AI and Teams Copilot can summarize the meeting, give you action plans, and more!
Most campus offices designate a person who is in charge of writing meeting minutes. This role may soon be replaced by Microsoft’s Copilot or Zoom AI as both AI tools can do more than just write meeting minutes without typos.
When it is incorporated into the classroom or online classes, TAs or even professors may be able to send out the classroom notes utilizing Zoom or Teams and students can interact with AI tools to ask various questions related to the lesson.
Let’s look at what Copilot in Microsoft Teams and Zoom AI Companion can offer for your office or classroom.
Copilot within Microsoft Teams & Zoom AI Companion Best Practices
Whether it is Microsoft Copilot or Zoom AI Companion, both AI tools can work only when the meeting is recorded. Therefore, make sure to start the recording before start the meeting.
College Administration
Both Copilot and AI Companion summarize the meeting and send you an email with the meeting minutes. With this, all meeting attendees have to do is use Teams or Zoom (why not use tools for in-person meetings too? All it needs is the audio), click the recording button, and use AI Companion and Copilot.
With this, every attendee can “actually” participate in the meeting without worries of missing any piece of information.
When it comes to Zoom AI Companion, it took several hours to process the meeting which I guess it will only get faster in the future.
Classroom
Small colleges may not have enough human or financial resources to hire and train TAs for all classes. Professors can utilize Microsoft Copilot or Zoom AI to record the meeting, auto-generate the lecture notes, and provide them to students.
Students can be invited to join Zoom with mobile and they can interact with Copilot and Companion to ask if certain topics were already discussed or to give them a real time summary to check if they understood the lecture.
Furthermore, latecomers will be able to catch up by skimming through the notes provided by Zoom AI Companion and Microsoft Copilot.
College Administration
What is more, Copilot and Zoom AI can give you a list of action items based on the meeting. It will be super helpful for the offices to share what was discussed and who’s in charge.
This means, there will be no more “Didn’t we discuss XYZ” or “Can any of you remind me who was in charge of XYZ?”
Copilot and AI Companion add transparency and make it easier for everyone to be on the same page with minimum effort.
One thing to note about Zoom AI is that when I tried to get the list of action items by using the “Ask AI Companion” feature, with the same recording, one may be able to get the action items while others cannot.
This shows that Zoom AI is not 100% stable at this point but again, it will only get better as it is powered by Artificial Intelligence technology.
Classroom
By utilizing summarized action points, professors will be able to be reminded of where they left off last time. They can also lookup the meeting note from the previous class to see if any questions were not answered.
Likewise, students will be able to check the homework or any action item. They can utilize the tool for teamwork as well to summarize the team meeting and have the action items until the next meeting.
College Administration
Zoom AI Companion and Teams Copilot continue to come in handy even after the meeting. Both Zoom AI and Microsoft AI (Copilot) can draft emails based on the meeting or create charts, tables, etc.
Note that this feature can be used when staff is using Teams and Outlook. Likewise, Zoom needs to have access to the inbox.
Classroom
Instructors can ask Microsoft Copilot and Zoom to send out emails based on the lecture so students and faculty have the same document to refer to regarding the class.
We have looked at how Microsoft’s Copilot and Zoom’s Companion can assist faculty and staff. It is worth mentioning that the licensing model for Teams and Zoom is different. Therefore, it is imperative to check out the differences between Microsoft Teams and Zoom AI to see if you have access to features that are listed above.
Copilot within Microsoft Teams & Zoom AI Companion Differences
First of all, Zoom AI Companion is added to Zoom for free which allows all existing Zoom users to have access to AI Companion without extra charges.
This means that if your college has the license it’s highly likely that you may already have seen the Zoom AI Companion button.
As far as Copilot is concerned, it comes with a complex licensing model. For this reason, even though you can utilize Copilot, you may not be able to use Copilot within Microsoft Teams.
The best way to check is look at the subscription that your college holds and search if it includes Copilot for Microsoft 365.
Copilot for Microsoft 365 is powerful and it can do more than Zoom AI Companion that includes…
- giving you a weekly overview of the upcoming meetings,
- organizing meetings into categories
- utilizing Copilot in one-on-one chats, group chats, and meeting chats
As of today, Zoom supports English and 32 additional languages. This is a great advantage for higher education institutions as it could lower the language barriers for non-native English speakers including international students.
When it comes to Microsoft Copilot, it supports 7 additional languages other than English and it plans to add 17 more in the future. These AI-powered tools are anticipated to help all students achieve their learning goals by bridging the language gap.
